Task Advanced Settings

Control who can start and complete a task by setting whether anyone, everyone, or a minimum number of assignees is required.

Overview

Each task in a runbook includes Advanced Settings that define:

  • Start Requirements – who must start the task before it progresses

  • End Requirements – who must complete the task before it is marked as finished

These settings are useful for tasks that require sign-off or coordinated action from multiple people or specific roles.

Where to find Advanced Settings

  1. Open your runbook

  2. Select a task

  3. In the right-hand task panel, expand Advanced Settings

  4. Configure Start Requirements and End Requirements

Start Requirements

Option

Description

Anyone can start (default)

Any assignee can start the task

Everyone must start

All assignees must start the task

Minimum users must start

A defined number of assignees must start the task

End Requirements

Option

Description

Anyone can end (default)

Any assignee can complete the task

Everyone must end

All assignees must complete the task

User who started must end

Only the starting assignee can complete the task

Minimum users must end

A defined number of assignees must complete the task

Note: “User who started must end” is not available when “Everyone must start” is selected.

Key behaviours

  • Minimum values must be between 1 and the number of assignees

  • Minimum options are disabled if no assignees are set

  • If assignees are removed below the minimum, an error is shown

  • Settings are cleared automatically when switching away from minimum options

  • All changes are tracked in the audit log

Bulk edit and duplication

  • Advanced Settings can be updated across multiple tasks in bulk

  • Bulk changes are validated to ensure minimum requirements are still met

  • Settings are preserved when duplicating tasks or runbooks

During runbook execution

Task buttons are enabled based on configuration:

  • Anyone can start/end – available to any assignee

  • Everyone must start/end – task completes only when all assignees act

  • Minimum users – task completes once the required number of assignees act

  • User who started must end – only the original starter can finish

Overrides

Runbook Admins can override Start and End requirements during execution. All overrides are logged in the audit trail.

Additional Notes:

  • Settings are not available during CSV import

  • Auto-start/auto-finish is only compatible with “Anyone can start/end”

  • All settings are available via the API

  • Don't forget to press Save (top right of the edit panel) after making your edits and changes
