Communication Task Types

Email, SMS, and Call are available task type options that can be added to your runbook based on your needs and team preferences. In this article, we'll cover how these task types work, and how to add them in a runbook.

Overview


The available communication task types in Cutover are:

  • Email: Send an email to team members and/or relevant stakeholders.

  • SMS: Send a text message to team members and/or relevant stakeholders.

  • Call: Call a team member and/or relevant stakeholders.

These task type options can be selected within a runbook in the Task Detail panel. In the below example, the Email task type is selected:

Send test communications


Before your runbook is executed, you have the ability to send test communication messages in a rehearsal run, and when adding recipients and message information in the task type itself.

To send a test message in a rehearsal run, ensure that Test Comms only is selected within Communication Settings.

To send a test message when adding your communication task, click Send A Test Message.

Note: Test Comms only and Send a Test Message options will send a test message to you, not the intended recipient โ€” test messages are not sent to recipients.

Email task type


To add an Email task type, select Email in the task type drop-down menu. Next, click Settings.

In Settings, add recipients and an email message. Optionally, send a test message first. Click Continue to save the email.

The message and email recipients can be updated during a live run unless the task has already started. The email created via the Email task type will be sent once the runbook is executed and the task has started.

SMS task type


To add an SMS task type, select SMS in the task type drop-down menu. Next, click Settings.

In Settings, add recipients and an SMS message. Optionally, send a test message first. Click Continue to save the SMS.

For an SMS message to be sent to a user, their telephone number must be added to their user details. The message and SMS recipients can be updated during a live run unless the task has already started. The SMS message created via the SMS task type will be sent once the runbook is executed and the task has started.

Call task type


To add a Call task type, select Call in the task type drop-down menu. Next, click Settings.

In Settings, add recipients and a call introductory message (up to 1600 characters). Send a test call during rehearsal mode by selecting Test comms only. Click Continue to save the call details.

To call a user, their telephone number must be added to their user details. The call will be made once the runbook is executed and the task has started, initiating an outbound call to the recipient(s) where the introductory message is relayed.
